How to integrate AI & automation in your company - with Audrey Mann from Project A

Hey Audrey, can you tell us more about you and share more about your journey with Project A?

Audrey: Yeah, sure. A bit about my background: I studied media and event management, and my first job was as an offline marketing manager. I quickly transitioned into the field of CRM, where I got acquainted with the no-code landscape. I started using tools like Make and Webflow for our landing pages, which sparked my interest in automation. I joined Project A in 2021 as a growth marketing manager, supporting operational teams in marketing, focusing on CRM and automation. It's been a fun and insightful journey, especially with the integration of AI into our processes.

It's fascinating to hear about your journey from marketing to AI. Given your extensive experience with no-code tools and automation, what are some of the key challenges you faced while training and adopting these technologies within your team? How did you overcome them?

Audrey: One of the biggest challenges was initially getting everyone on board and comfortable with these new tools. Not everyone was familiar with no-code platforms like Make or Webflow, so there was a steep learning curve. 

To address this, we implemented comprehensive onboarding workshops for new team members and organized regular hackathons. For instance, we had a recent hackathon where our commercial team built a benchmarking tool using Make. It was challenging but very effective in getting hands-on experience. Regular training sessions and creating a culture of experimentation were crucial in overcoming resistance and building competence.

It sounds like you've done a lot to ensure your team is well-equipped. Could you provide specific examples of how no-code automation and AI, such as ChatGPT, have been implemented in Project A's portfolio companies? What were the outcomes of these projects?

Audrey: Absolutely. One notable example is a project with a venture in the defense tech space. They needed to sync data between their ERP system, NetSuite, and HubSpot. Using Make, we automated the data transfers, which was a big success. However, training the portfolio company to maintain the automation was a bit challenging. 

Another exciting project involved creative automation using ChatGPT. We built a system that collected information through forms, stored the data, and used it to generate content in Asana. This streamlined their content creation process significantly, saving time and improving consistency. The feedback from these projects has been very positive, with noticeable improvements in efficiency and productivity.

Those are impressive examples. From your experience, what are the essential elements of successful change management when introducing new technologies like automation and AI into a business?

Audrey: Successful change management really hinges on clear communication, comprehensive training, and ongoing support. It's important to communicate the benefits of the new technology and how it fits into the company's broader goals. Training sessions and continuous support help ease the transition and build confidence among team members. Involving stakeholders at all levels and securing their buy-in early on is also crucial. We've found that having change champions within the team can make a big difference. They help advocate for the new technology and assist their peers. Patience and persistence are key, as these changes take time to implement effectively.

That makes a lot of sense. How do you ensure effective collaboration between automation experts and tech teams at Project A to maximize the benefits of these technologies?

Audrey: Collaboration is essential, and we make it a priority to foster open communication and teamwork. For example, I work closely with Maria, a software developer, on our AI projects. This collaboration allows us to combine our expertise and ensure that we're building robust, scalable solutions. We have regular meetings, shared goals, and clearly defined roles and responsibilities, which all help maintain effective collaboration. Additionally, having tech team members as sparring partners ensures we follow best practices and maintain data integrity, which is critical for the success of our projects.

It sounds like a well-coordinated effort. Can you share some metrics or numbers that show how much time, cost, or effort you saved with these technologies?

Audrey: While I don't have the exact figures right now, I can give you some insights. Implementing no-code automation tools has significantly reduced the time spent on repetitive tasks, freeing up our team to focus on more strategic initiatives. 

For instance, automating data transfers between systems saved us several hours each week, which accumulates to a significant amount over a year. 

On the cost side, automating content generation with ChatGPT has reduced our reliance on external content agencies, leading to substantial cost savings. 

Overall, the efficiency gains and cost reductions have been substantial, clearly demonstrating the value of investing in these technologies.
